# Data retention and deletion

> Retention periods, self-service deletion, and what to do if you cannot delete data.

[Back to Security](/en/security)

**For ordinary deletion, use the app’s delete controls.** Deleting a meeting, deleting an account and cancelling a plan have different effects. Use the tables below to find the action and retention period for your data.

An item may disappear from the app before its stored files are erased. Cleanup runs in the background and may need retries. This delay does not provide an in-app recovery period. Export anything you need before deleting it or its retention period ends.

## Automatic retention periods

These periods determine when data is eligible for automatic cleanup. They do not guarantee availability for the full period or immediate deletion at its end. Earlier deletion, plan settings and contract terms may apply. Month-based periods follow the calendar, rather than a fixed number of days.

| Data | Cleanup threshold |
| - | - |
| Saved transcripts, translations and summaries | 12 months after the transcript was created |
| Audio for transcript playback | 3 months after the transcript was created |
| Meeting-room and web-meeting-bot video | 30 days after the recording or session was created |
| Virtual-office channel messages and attachments | 7 days |
| Time-tracking records, online activity and screenshots | 18 months after the activity started |
| Vocabulary Builder source documents | 14 days after the session finishes or fails; active processing and cleanup failures can delay removal |

Editing or opening a transcript does not restart its retention period. Audio can expire while the text remains; video expiry does not delete a separate audio file or transcript. Message expiry can leave related usage or speech-analysis records.

The Privacy Policy sets a maximum of **3 months** for conversation-history audio, depending on plan and settings. The backup guidance below does not extend that commitment.

## Delete a meeting, bot session or upload

Use the delete control for the relevant item. Available actions depend on ownership and workspace permissions.

| Action | What happens |
| - | - |
| Delete an entry in **Meeting Logs** | The entry is hidden first. Permanent cleanup of ordinary transcripts and meeting recordings becomes due 30 days after deletion. This includes their owned files, revisions and processing results. Authorized deletion may also include a linked recording or bot session. |
| Delete a **web-meeting-bot session** | An active session stops, removal of its audio and video is requested, and the linked transcript follows the transcript deletion process. These steps may finish at different times. |
| Delete a **File Transcribe upload or job** | The job is hidden and cleanup is queued for its owned source files, results, retry copies and processing files. You may need to cancel active processing first. Files still used by another retained job are kept. |
| **Stop** or **Cancel** processing | Capture or processing stops. Existing inputs and results are not deleted. |

The 30-day delay applies to manual deletion of ordinary transcripts and recordings. Automatic expiry does not add another 30-day wait. Deleting a saved transcript does **not** remove all original uploads, subtitles or dubbed media; delete the upload or job separately.

See [Meeting Logs](/en/meeting-minutes), [Web Meeting Bot](/en/web-meeting-bot) and [File Transcribe](/en/recording-transcription-translation) for the controls.

## Accounts, workspaces and shared data

| Action | What happens |
| - | - |
| Cancel a plan or let a trial end | Billing or feature access changes. This does not delete the account or its content. |
| Leave a workspace or remove a member | Membership access ends and that person's pending meeting automation is cancelled. Completed meetings and shared records remain. |
| Delete your account | Sign-in is disabled, primary profile fields are cleared, and personal login sessions and API keys are revoked. Final cleanup becomes due after 30 days, but retained shared records or ownership requirements can delay it. |
| Delete a workspace | Members lose access and invitations are invalidated. Permanent cleanup becomes due after 30 days; it is not immediate removal from every storage system. |

You cannot delete your account while you own or manage a workspace. If you are an owner, transfer ownership first. Then ask the owner to change your manager role in every workspace where you are a manager. See [Account deletion](/en/account-deletion) and [Member Management](/en/member-management). Check your plan and cancellation status in [Billing](/en/plan-changes); uninstalling the app or removing a payment card does not cancel a paid plan.

Deleting a persistent whiteboard, editor or other virtual-office object normally hides it first. Cleanup of its owned content and attachments becomes due after 30 days; files referenced elsewhere are preserved. Room or floor deletion can remove resources through a different process. Removing a custom object from the catalog does not necessarily remove copies already placed in floors, templates or editing history.

## Dictionaries and voice registration

Deleting a Vocabulary Builder source or session does not delete terms already added to a [dictionary](/en/dictionary). Remove those terms separately.

Deleting a voice registration for [speaker identification](/en/speaker-id) applies to the selected language. It requests recording removal and takes that registration out of active use. Other language registrations, existing meeting text and speaker labels can remain. This action does not confirm physical erasure of every related identity or historical record. Delete other language registrations separately. For related personal data that these controls cannot remove, see the privacy-request guidance below.

## Recordings and copies on your devices

Use **Delete in offline history** to remove a saved local transcript and its audio on each device. Cloud deletion, signing out, quitting the app, switching accounts or removing a speech model does not clear offline history. If deletion reports an error, check the result and retry.

Recovery recordings from interrupted online capture can remain while an upload is pending or has failed. Deleting a local recovery recording does not delete a copy already uploaded to the cloud.

Downloads, exports, operating-system backups and files shared with other people need separate deletion. If you enabled saved diagnostic logs, use their delete or clear control; older sessions can remain after sign-out.

## Backups, logs and copies sent elsewhere

Processing files, translation caches, job history and operational logs have separate cleanup rules. Some contain content or identifiers. Temporary files from successful processing are cleaned up after results are handed back; unfinished or failed work may stay for recovery. Routine rules include 7 days, 30 days or one calendar month, with exceptions for active or referenced records. These are not deadlines for every copy.

Backups and archives also have separate lifecycles. Losing playback access or deleting an entry does not confirm that every copy is gone. For personal data you cannot delete in the app, see the privacy-request guidance below and specify any backups or archives you want covered.

Support, billing, security-investigation and appeal records are handled for their own purposes under the Privacy Policy and applicable law. Account deletion does not automatically erase them. A hashed identifier is not necessarily anonymous.

VoicePing cannot recall a downloaded transcript, delivered email summary or copy sent to an integration, API or MCP client. Disconnecting a service or revoking a key stops future access within that control's scope; delete earlier copies through the receiving service.

## If you cannot delete data

For ordinary deletion, use the app’s delete controls. If you lack permission, ask your workspace owner or administrator to take the appropriate action. Under [Terms of Service Article 13-2](/en/terms-of-service#article-13-2-workspace-and-user-account-deletion), VoicePing does not carry out ordinary account or workspace deletion in response to email requests.

If a suspected system failure or bug prevents deletion, [contact support](https://voiceping.net/en/support/) with the affected account or workspace, the action you tried and the error shown. VoicePing investigates the report; you do not need to prove the defect yourself. If a VoicePing defect is confirmed, we take the necessary action after checking identity and authority. Do not send passwords, verification codes or API keys.

## Privacy requests

Requests under applicable law or [Privacy Policy Articles 10 and 10-2](/en/privacy-policy#article-10-disclosure-correction-and-deletion-of-personal-information) remain available through [the policy’s contact point](https://voiceping.net/en/support/), whether or not the app has a bug. This includes requests concerning personal data outside the app’s delete controls. Identify the data and any retained copies covered by your request; identity and authority checks may apply.

Personal data is deleted within **30 days of a valid deletion request**, unless applicable law requires retention. Relevant identifiers in logs are deleted or irreversibly anonymized. You may ask for confirmation of the outcome and the reasons for any retention. Product cleanup schedules do not replace these commitments, your statutory rights or the terms of your service agreement and any applicable [Data Processing Agreement](/en/gdpr-dpa).
